Information we collect
Enquiries may include your name, contact details and business information. Secure onboarding may also collect your address, date of birth, National Insurance number, UTR, tax circumstances, financial records, identity evidence, uploaded documents, signature and acceptance evidence. We collect only information reasonably needed for the proposed or agreed service.
How and why we use information
We use information to respond to enquiries, assess and deliver services, verify identity, conduct conflict and anti-money-laundering checks, obtain HMRC authority, prepare filings, maintain engagement evidence, prevent fraud and comply with legal, tax and regulatory obligations. Depending on the purpose, processing may be necessary for a contract, legal obligations or our legitimate interests.
Sharing and processors
We do not sell personal information. We may share relevant information with HMRC, identity or AML providers, secure hosting and document-storage providers, payment providers, software providers, professional advisers or authorities where necessary and subject to appropriate safeguards.
Security and sensitive credentials
Onboarding records and files are stored in protected systems and admin access is restricted. Do not send Government Gateway passwords, one-time authentication codes or banking passwords; Monarch does not need them to act as your agent.
Retention
We retain information only for as long as reasonably necessary for the purpose collected, the engagement, professional record keeping, tax and anti-money-laundering obligations, disputes or legal requirements. Unaccepted onboarding information will be reviewed and removed when it is no longer needed.
Your rights
Depending on the circumstances, you may have rights to access, correct, erase, restrict, object to or receive a copy of personal information. You may also complain to the UK Information Commissioner’s Office.
